1. About Pivitax
Pivitax is a web-based expense tracking and tax reporting service designed for UK freelancers and self-employed individuals. By using Pivitax, you agree to these terms.
2. Your Account
You are responsible for keeping your account details secure. You must provide accurate information when creating an account. You must be at least 18 years old to use Pivitax.
3. Subscription & Billing
Pivitax offers a free tier and paid plans (Simple at £9/month and Full at £12.99/month, with annual options available). Paid subscriptions renew automatically at the end of each billing period. You can cancel at any time from your account settings and you will retain access until the end of your current billing period.
4. Refund Policy
We offer a 14-day free trial with no payment required. After your trial ends and a payment is taken, refunds are not issued for partial billing periods or unused time on a subscription. If you believe a charge was made in error, contact us at support@pivitax.co.uk within 7 days and we will review your case. We reserve the right to offer or decline refunds at our discretion on a case-by-case basis.
5. Your Data
You retain ownership of all documents you upload. You grant Pivitax a limited licence to process your documents solely to provide the service (categorisation, report generation). We do not sell your data to third parties.
6. AI Accuracy
Pivitax uses AI to read and categorise documents. While we aim for accuracy, AI can make mistakes. You are responsible for reviewing your tax reports before submission to HMRC or the IRS. Pivitax is not a regulated accounting service and does not constitute financial or tax advice.
7. Service Availability & Data Loss
We aim to keep Pivitax available at all times but cannot guarantee uninterrupted access. The service may occasionally be unavailable due to maintenance, technical issues, or circumstances beyond our control. We are not responsible for any loss of data, lost documents, or business disruption caused by service outages, technical malfunctions, software errors, third-party service failures (including Supabase, Stripe, or AI providers), or any other cause. We strongly recommend keeping copies of all important documents you upload. Pivitax is a convenience tool and should not be your only record of financial documents.
8. Acceptable Use
You may not use Pivitax to upload illegal content, attempt to reverse-engineer the service, or circumvent subscription limits. We reserve the right to suspend accounts that violate these terms.
9. Limitation of Liability
Pivitax is provided "as is" without warranty of any kind. To the fullest extent permitted by law, we are not liable for any direct, indirect, incidental, or consequential loss or damage arising from your use of the service, including but not limited to errors in AI-generated reports, missed tax deadlines, HMRC or IRS penalties, data loss, or financial losses of any kind. Our total liability in any circumstance is limited to the amount you paid to Pivitax in the 3 months prior to the claim.
10. Changes to These Terms
We may update these terms from time to time. We will notify you by email of any significant changes. Continued use of Pivitax after changes constitutes acceptance.
